PROPOSED GUIDELINES FOR USE OF KING’S COUNTRY CLUBHOUSE

- King’s Country Property Owners shall have approved use of the Clubhouse at no charge when Clubhouse is open during Normal Business hours. When use of the Clubhouse is requested after normal business hours by a Property Owner, there will be a $25 charge.
- Usage of the Clubhouse is subject to the following conditions:
- Any property owners planning to use the clubhouse will make a request for a reservation with the Facilities Manager. This includes those groups planning to use the clubhouse on a regular basis, such as exercise classes, card parties quilting club, etc. These requests will be noted on the calendar and will become reservations one month prior to the event. This will allow everyone an opportunity to request the facilities and every effort will be made to accommodate everyone.
- These regular Usage groups will sign a Release of Liability form releasing King’s Country from any and all responsibility for the group and their actions.
- When a property owner desires to use the clubhouse for a special activity, such as a
Wedding reception, anniversary party, family reunion and such, reservations are to be
made with the Facilities Manager. At the time the reservations are made, a $100 deposit will be required and provisions for obtaining a key will be made. Upon completion of the use of the clubhouse, each party shall:
Clean up the area used, including and especially the kitchen area.
Remove all trash from the premises and put the trash in the provided outside receptacles.
Return key as instructed.
When these conditions are met the $100 deposit(less $25 if after normal hours) will be returned to the person sponsoring the event. Any damage to the clubhouse by the group in excess of the $100 would be the responsibility of the person reserving the clubhouse. The person reserving the clubhouse will also sign a Release of Liability form as the sponsor of the event.
- All of the above conditions apply to the Community Room with the exception that the property owner renting this area will also pay a $100 fee for setting up of the room and taking down of the room if required.
2. Any person not a King’s Country property owner may rent the clubhouse. Also Property Owners who wish to use the facilities for commercial business purposes and/or outside groups may rent the facilities with the following conditions:
- Renting of the clubhouse by any outside group will be limited to two (2) times a month.
- Reservations for renting the clubhouse will be made by a responsible member of the group with the King’s Country Facilities Manager. At the time the reservations are made, rent payment will be collected. Rent payment will be :
Clubhouse ------------$100
Community Room---$200
All----------------------$300
Deposit-----------------$100
There will also be a charge of $100 if setup and take down of the Community Room is required.
Upon completion of the use of the clubhouse, each party shall:
Clean up the area used, including and especially the kitchen area.
Remove all items and decorations brought by renter.
Remove all trash from the premises and put the trash in the provided outside receptacles.
Return key as instructed.
- If the above requirements are met, the $100 deposit will be returned. Any damage to the clubhouse in excess of the $100 will be the responsibility of the person making the reservations. A Release of Liability form will also be signed by the person making the reservations releasing King’s Country from any liability by the group and their actions.
GENERAL RULES GOVERNING THE USE OF THE CLUBHOUSE AND COMMUNITY ROOM
- In an effort to minimize the number of keys assigned, any person wishing to use the Clubhouse and/or Community Room at a time when the Clubhouse and Community Room is not open will get a key from the Facilities Manager. The key will be returned to the Facilities Manager either right after the function is over or within 24 hours. A $5 a day fine will be assessed for keys returned beyond that one (1) day.
- All persons renting the Clubhouse and/or the Community Room will go through a specific checklist with the Facilities Manager as to the care and use of the facilities. This will require acknowledgement by the requesting party of the information regarding locking and unlocking the doors, the heating and air conditioning controls, fans and light switches, etc. There will be a checklist available and posted in the Clubhouse so as to inform interested parties as to what is expected of them.
- The Facilities Manager, prior to the installation of decorations, must approve any decorations planned by any group.
- No smoking is allowed in the Clubhouse or Community Room.
- Children Must be supervised at all times.
- No event in the Clubhouse or Community Room will extend past 11:00 p.m.
- Any group using the Clubhouse and/or the Community Room will be responsible for removing anything brought into the Clubhouse and/or the Community Room for the event. This includes any food.
- No more than 100 persons will be allowed in the Clubhouse at any one time. No more than 150 persons will be allowed in the Community Room at any one time.
- A Release of Liability Form must be signed by the person making the reservations releasing King’s Country from any liability of the group and their actions.
- The Facilities Manager will have the final decision regarding any reservations or any conflict in the interpretation of these rules.
